Before Reordering Activewear, Define “Same as Last Time”

“Same as last time” is not a complete instruction for an activewear reorder. Your team may mean the approved fit, while the factory is looking at an earlier sample or a different fabric reference. Before confirming the purchase order, separate what stays unchanged, what changes and what still needs a decision.

One colour name can hide several decisions

A navy jogger can keep its name while the fabric lot, waistband specification or packing ratio changes. A photograph will not tell the production team which version you approved. For fitted activewear, a matching fibre composition also does not establish that a new material lot will behave like the earlier reference.

Start with the approved garment or sample reference and the current specification date. If those are unclear, leave the item open. Guessing which version to repeat moves an unresolved decision into production.

Use three statuses before the next purchase order

A practical reorder brief can fit on one page. Give each item a status, a reference and someone responsible for closing any open question. The following is an illustrative example, not a customer order.

StatusIllustrative reorder itemWhat to attach or resolve
UnchangedFit carries overApproved sample code and current measurement specification
ChangedA new colour is requestedNew approved colour reference; identify which earlier reference it replaces
OpenProposed fabric lot is not yet approvedConfirm the actual material reference, review needed, decision owner and date

“Unchanged” still needs a reference. “Changed” needs the replacement instruction. “Open” needs a decision owner and review date. This makes the remaining work visible without forcing the buyer to pretend that every detail has already been settled.

Check the assortment and packing details too

An unchanged garment does not necessarily mean an unchanged delivery. Your new order may have a different size mix, carton allocation or destination. Confirm these details before labels and packing are prepared, rather than assuming the previous arrangement carries over.

GS1 US explains that product variants, including colour, size and pack size, can be assigned individual GTINs. Its apparel guidance is a useful reference when reviewing the product data supplied with a retail order. Confirm the applicable identification requirements with your buyer; this does not mean every production change automatically requires a new barcode.

Connect the brief to the approval record

Send the same brief with the current tech pack and approved sample reference. Ask the supplier which version will be used by cutting, sewing and inspection, and which unresolved points affect price or timing. Record the response against the affected item, rather than leaving a change isolated in a chat.

For the broader supplier evaluation, see our retailer repeat-order guide. For the material, fit, quality and packing decisions behind the brief, use our activewear reorder checklist. This article adds a compact handoff format to those guides.

This HF Garments short introduces the questions behind the brief. Order-specific references and approvals still need to be confirmed for your own project.

Two questions buyers often need to resolve

Does the same fabric composition mean the same approved material?

No. Ask for the actual material reference and whether a new lot or alternative is proposed. Agree which comparisons or approvals are needed for that product before releasing it.

Can a reorder be discussed before every detail is final?

Yes. Mark unresolved items Open and explain what information is missing. A clear list of pending decisions is more useful than an incomplete instruction described as final.

Planning bulk production or a repeat order?

Send HF Garments the previous product reference or current tech pack, quantities by style and colour, requested changes, destination and required arrival date. Mark unconfirmed details Open so the next discussion starts with the decisions your project actually needs.
